Automatically mark inactive gym members, and win them back

Keep an honest active member count. MatSync marks members inactive after 30 to 365 days without a plan or a class, and reactivates them the moment they come back.

Where to find it: Dashboard · Settings · Student Access · opt-in per club

An active member list you can trust

Members who stopped training rarely tell you. They keep counting as active, so your member numbers look healthier than your mats, and nobody follows up until they cancel.

Automatic member activity marks members inactive once they have had no plan and no class booking for a period you choose. Your active count shows who is really training, and the inactive list becomes a ready-made win-back list for gym member retention.

How automatic inactivity works

  • It is off by default. Owners and admins turn it on per club under Settings, Student Access.
  • Choose the period: 30, 60, 90, 120, 180 or 365 days.
  • Before you switch it on, MatSync shows how many members would be marked inactive.
  • Turning it on, or changing the period, applies straight away. MatSync then checks again every night.

Who is marked inactive

  • Members with the member role who are not blocked.
  • Who joined before the chosen period.
  • Who have no active or paused plan today.
  • Who have not booked a class during the period, and were not reactivated during it.
  • Staff and guardian-only accounts are never marked inactive automatically.

Coming back is automatic

A member who books a class or gets an active plan is reactivated in that club right away. Inactive members can still see the schedule and the leaderboard and buy a plan, so returning is easy.

Inactive is not blocked. Blocking removes a member’s access; inactive only reflects that they have stopped training.

How to set it up

  1. Open Settings, then Student Access.
  2. Under Automatically mark inactive, choose how many days without training to allow.
  3. Check how many members would change, then turn it on.

Questions

Does an inactive member lose their history?

No. Nothing is deleted. Plans, attendance, payments and belt progress stay as they were, and every status change is logged.

What brings a member back to active?

Booking a class or getting an active plan in your club reactivates them automatically. You can also change their status by hand.

Can an inactive member still buy a plan?

Yes. Inactive members can see the schedule and buy a plan. Only blocked members lose access.
