MatSync questions and answers

We support all major martial arts disciplines including Boxing, Krav Maga, Kung Fu, Aikido, Mixed Martial Arts (MMA), Judo, Brazilian Jiu-Jitsu, Karate, Wrestling, Muay Thai, Kickboxing, Taekwondo, and Hapkido. You can also add custom disciplines specific to your club.

MatSync takes online payments through Stripe Connect, with cards, Apple Pay and Google Pay depending on country. Each Stripe payment carries Stripe's processing fee plus a 0.5% MatSync app fee. Clubs can also record cash, bank transfer or custom payments by hand with no MatSync app fee. Failed payments appear in the dashboard.

Students book classes in the MatSync mobile app, and a booking counts as attendance. To check in at the club, put an Android tablet at the front desk as a kiosk: members scan their member card or the code in their app, type a 5-digit PIN, or scan the tablet’s QR code with their phone. Clubs without a tablet can print a QR poster, and coaches can tick attendance on the class roster. Attendance also feeds belt progression, which tracks time-in-grade and class counts for each student.

Yes. Students and parents can book classes, see belt progress and pay from the app. The class push is a same-day prompt for students who trained recently and have notifications on, not a general reminder channel. Family accounts let one parent manage multiple children.

MatSync hosts club and student data in European Union data centers, encrypted in transit and at rest, and the product is built with GDPR in mind. MatSync is made in Poland (EU) by a company registered there. Clubs can download their financial reports and member data whenever they need them.

Yes — and it's fully handled by our team. We import members, memberships, attendance, and rank history from CSV or exports. We provide templates and walk you through the entire process so you can switch over with zero downtime.

The MatSync website is available in six languages: English, French, German, Dutch, Portuguese (Brazil) and Spanish. The MatSync web dashboard and member web pages also support Greek. To ask about another language for your club, email support@matsync.app, and the MatSync team replies within 24 hours.

Stripe retries failed recurring card payments according to its retry settings, and MatSync records each failed payment and keeps the member's plan status in sync automatically. You can see failed payments and their status in your dashboard. MatSync does not notify the student automatically; staff send payment reminders manually. If a card payment doesn't go through, you can also record payments manually for cash, bank transfer, or any custom payment method. Members always know when their next payment is due.

Yes. MatSync applies family discounts at Stripe checkout on membership plans. By default the second family member gets 10% off and the third and later get 15% off, and the club can change both rates. One parent login manages several children's bookings, belt progress and payments from the MatSync member app.

Yes. When creating a class, you can set eligibility rules based on age group (kids or adults) and skill level (beginner, intermediate, advanced). You can also set capacity limits per class so rooms never get overcrowded. Rosters update in real time.

Yes. MatSync separates kids and adult age groups across the entire system — from subscription plans and class scheduling to attendance tracking and belt progression. Each group has its own pricing, classes, and rank requirements.

Yes. MatSync tracks time-in-grade and class attendance for each student. You can view their full promotion history, add notes from evaluations, and manage the entire grading process from the member's progress tab.

Yes. You can download your financial reports and member data at any time.

MatSync is free for clubs with up to 30 students, with every feature and the iOS and Android member app, and no credit card. Grow costs $39 per month, or $35 per month billed yearly, for unlimited students and priority support. Payments clubs take through Stripe Connect carry a 0.5% MatSync app fee plus Stripe's processing fee; manually recorded payments carry no MatSync app fee.

MatSync supports signup documents. Clubs can set up custom onboarding with required documents that members sign by typing their name. Each club supplies its own documents, such as club rules, a health form or terms its lawyer has checked. MatSync doesn't write legal waivers, so the wording is always the club's own.

MatSync does not include SMS or WhatsApp messaging, class waitlists, multi-location management, or invoices sent automatically, and it doesn't write legal waivers for clubs. MatSync is free for clubs with up to 30 students; Grow is $39 per month for unlimited students. Members get email and push notifications.
