How the comparison works
Subscription is the plan that covers your member count. Where a vendor offers several plans for your size, such as PushPress or BJJLink, the calculator picks the cheapest total for you.
Processing is your card volume times the card rate, plus the fixed fee on each payment. Where a vendor publishes its own integrated rate (PushPress: 4.99%, 2.89% or 2.75% + 30¢ by plan), that rate is used; otherwise every vendor gets the default rate you set.
Platform fee is any published percentage on online payments: 0.5% for MatSync, 1% for BJJLink Black and MaatApp. Every platform, MatSync included, runs through the same formula.
What the comparison leaves out
- Optional add-ons: websites, branded apps, marketing suites and door access are priced separately by several vendors.
- Taxes, setup fees, annual-billing discounts and extra locations.
- Quote-based pricing: Mindbody and Glofox publish starting prices only, so those are shown and marked.
- Integrated payment rates that vendors don’t publish, such as Gymdesk Payments; the default rate applies to them.
Where the differences come from
- Member-count tiers: many plans jump in price at 45, 50 or 100 members.
- Processing: at 100 members paying $100 by card, 2.9% + 30¢ alone is $320 a month, usually more than the subscription.
- Free plans with higher card rates: a $0 plan can cost more overall once a higher processing rate applies to your volume.
- Percentage platform fees grow with your revenue, while flat subscriptions don’t.

Frequently asked questions
How much does gym management software cost?
In this comparison, published subscriptions range from $0 (MatSync Free up to 30 students, PushPress Core) to $289 a month (Zen Planner Studio at 251+ members). Card processing often costs more than the subscription: 100 members paying $100 by card at 2.9% + 30¢ is about $320 a month.
Why does a free plan sometimes cost more?
Some free plans charge a higher card rate. PushPress Core is $0 a month with 4.99% + 30¢ processing, while its Pro plan is $159 a month with 2.89% + 30¢. Above a certain payment volume, the paid plan is cheaper overall, and the calculator picks it.
Is MatSync ranked fairly?
MatSync makes this calculator, so we applied one formula to every vendor and show the inputs. MatSync is free up to 30 students, then $39 a month, with a 0.5% app fee on payments through Stripe on top of Stripe’s processing fees.
Why are the prices in US dollars?
Most vendors publish US list prices, so the comparison uses one currency. Local prices, taxes and processing rates differ by country.
Which costs are not included?
Add-ons such as websites, branded apps, marketing and door access, plus taxes, setup fees and multi-location pricing. Use the result as a starting point and check each vendor’s quote.
