How the break-even number is calculated
Break-even is the membership count at which recurring revenue covers recurring costs. We divide your monthly costs, minus income from private lessons, gear and seminars, by the fee you actually keep from each member after card or direct-debit processing.
The second figure adds your own target salary to the costs. Many owners only plan to break even and then work for free for years; planning for a salary from the start changes how you price memberships.
Where opening money really goes
- Lease deposit: landlords commonly ask for two to four months of rent up front.
- Mats: priced per square metre (or square foot), so size the mat with the capacity calculator first.
- Fit-out: changing rooms, showers, wall padding, lighting and signage.
- Cash reserve: a few months of running costs while membership grows. This is the line most new owners skip.
Read your rent-to-revenue ratio
Rent is usually the largest fixed cost. Below roughly 30% of revenue leaves room for staff and marketing; above 45% means a small dip in members can push the academy into a loss.
Ways to lower the break-even point
- Start in a shared hall or community centre before signing a long commercial lease.
- Rent out empty daytime mat hours to yoga, pilates or personal trainers.
- Collect fees automatically so no month is lost to late or forgotten payments.
- Offer quarterly and annual memberships to smooth out the summer dip.
- Add a kids programme: after-school classes fill hours adults do not use.
Frequently asked questions
How much does it cost to open a martial arts school?
It depends mostly on whether you rent a shared hall or a dedicated unit. A club in a rented hall can start with mats, insurance and a website. A dedicated studio adds a lease deposit, a full mat floor, fit-out and a cash reserve, which together usually reach tens of thousands. Enter your quotes in the calculator to see your own total.
How many students does a martial arts school need to be profitable?
Divide your monthly costs by the fee you keep per member after processing. Low-overhead clubs in shared halls often break even with 15–30 members; dedicated studios with rent and paid coaches commonly need 50–80 or more. The calculator shows your exact figure, plus the number needed to pay yourself.
Should I count volunteer instructors as a cost?
If senior students teach as part of their own progression, set coaching costs to zero, but remember that the arrangement may change as the club grows. Try a version with paid coaches to see how robust the plan is.
What membership price should I charge?
Start from what local academies charge for similar training, then check the break-even and salary figures. If the members needed for a salary exceed what your mat can hold at peak times, the price is too low or the costs too high.
Does the calculator save my numbers?
No. Everything runs in your browser and nothing is sent to MatSync. Use the print button to keep a PDF of your plan.
Run the academy, not the spreadsheet.
MatSync handles schedules, bookings, attendance, belt progress and payments in one place, with a member app for iOS and Android.
