Before and after
Taekwondo management software keeps a school’s students, class schedule, attendance, gup, poom and dan history and tuition in one system. Students book and check in from an app, parents manage every child from one login, and the instructor sees who is ready to test and who has not paid.
The jobs do not disappear. They move from your evenings into the app.
| Spreadsheets and paper | With MatSync | |
|---|---|---|
| Belt records | A binder of testing sheets, half of them in a former instructor’s handwriting | Every gup, poom and dan on the student’s profile, with date, examiner and notes |
| Who is ready | Counting attendance cards the week before testing | Classes and time at rank checked for every student at once |
| Bookings | Parents texting to ask if Saturday still has room | Parents book and cancel in the app, with capacity and age rules applied |
| Payments | Matching bank transfers to children’s names at the end of the month | Card payments in the app, cash and transfers recorded in two taps |
| Weekly limits | Hoping the front desk remembers who has a two-class plan | The plan allows two classes a week and the app holds the line |
| Registration | Paper forms and signed waivers in a folder | Sign-up details and accepted club terms on each profile |
Before you switch
Questions taekwondo school owners ask us before they switch. Every answer below is something MatSync does today.
Start for FreeYou build your own rank system, so a tip belt is a grade of its own with two colours, juniors can work towards poom and adults towards dan on a separate track. Each grade holds its minimum classes and months.
Rank names, colours and requirements are yours, so ITF kup grades and tul work as well as WT gup grades and poomsae. See the taekwondo belt order guide, or estimate a timeline with the taekwondo belt calculator.
MatSync counts the classes each student attends after their last promotion and compares them with the belt’s requirements, so you see who is ready, who is almost there and who needs more classes.
Put each candidate down for the testing date with the belt they are testing for. On the day, every promotion is saved with its date, examiner and note.
A membership can allow a set number of group classes per Monday-to-Sunday week, from 1 to 14. Once a student reaches the limit, further bookings that week need a class pack.
Every class has its own age range, belt level and capacity, so a seven-year-old cannot book Tiny Tigers and a white belt does not land in kyorugi. Juniors and adults follow separate belt tracks.
With a family account, one parent login covers several children. From the member app, parents book classes, see belt progress and pay for each child. Family discounts apply automatically to eligible membership purchases.
A tablet at the front desk runs the MatSync check-in kiosk: students scan their member code as they arrive and the check-in lands in the class attendance. Instructors can also take roll on the class roster.
Students or parents buy a plan in the app. Online payments go through Stripe at Stripe’s standard processing fees plus a 0.5% MatSync app fee. You can also record cash or bank transfers manually with no transaction fee. If a card payment fails, Stripe retries it according to its settings and MatSync keeps the plan status in sync; staff send payment reminders manually.
Every testing is on the student’s record with its date and examiner, so the history is ready when a student applies for poom or dan. The application to Kukkiwon or your federation still goes through their own process.
Send us your spreadsheet or an export from your current software and we import your students, their plans and their belt history, so you start with the school you already have.
MatSync is free for up to 30 students, with every feature included, the member app and no credit card required. When the school grows past 30 students, the Grow plan is $39 per month, or $35 per month billed yearly.

For taekwondo schools
A dojang runs differently from a gym. These are the jobs taekwondo school owners ask us about most, and how MatSync handles each one.
Yellow tip, green tip, blue tip: each is a grade of its own with two colours and its own minimum classes and months, so the ready list works for tip belts too.
Make a belt certificateFour-to-six-year-olds get their own classes, their own plan and a two-classes-a-week limit if you want one. Parents book, pay and follow progress for every child from one login.
Juniors work towards poom on the kids track, adults towards dan on their own. The full testing history stays on the student’s profile when they move up to adult classes.
Kyorugi from yellow belt, Demo Team from blue belt, Tiny Tigers only from four to six. Set the age and belt level on the class, and nobody can book a class that is not meant for them.
Gup or kup, poomsae or tul, nine colours or eleven: set your own names, colours and order, with a separate track for juniors.
