Karate management software keeps a dojo’s students, class timetable, attendance, kyu and dan grading history and membership fees in one system. Students book and check in from an app, parents manage every child from one login, and the instructor can see who is ready to grade and who has not paid.
Before you switch
Questions dojo owners ask us before they switch. Every answer below is something MatSync does today.
Start for Free
You set up your own rank system, so your style’s kyu and dan grades show up in the right order with your belt colours and tags. Each grade holds its minimum classes and months, and every student’s grading history stays on their record.
Your belt order is your own: set the colours, tags, kyu and dan grades and their order for your style, with a separate track for juniors. See the karate belt order guide, or estimate a timeline with the karate belt calculator.
MatSync counts the classes each student attends after their last promotion and compares them with the grade’s requirements, so you see who is ready, who is close and who needs more mat time before the grading.
Book the next promotion ahead of the grading. Each promotion is saved with its date, examiner and note, including grades imported from the old grading book.
Your timetable is built from recurring classes with capacity limits and eligibility rules by age group and skill level, so juniors and adults book the classes meant for them. Juniors can follow their own belt track, with stripes between belts.
With a family account, one parent login covers several children. From the member app, parents can book classes, see belt progress and pay for each child. Family discounts apply automatically to eligible membership purchases.
Students and parents see the timetable in the MatSync app and book a spot. Rosters update in real time, and check-ins show up in attendance right away.
A tablet at the front desk runs the MatSync check-in kiosk: students scan their member code as they arrive and the check-in lands in the class attendance. Instructors can also take the roll on the class roster.
A membership can allow a set number of group classes per Monday-to-Sunday week, from 1 to 14. Once a student reaches the limit, further bookings that week need a class pack.
Students or parents buy a membership plan in the app. Online payments go through Stripe at Stripe’s standard processing fees plus a 0.5% MatSync app fee. You can also record cash or bank transfers manually with no transaction fee. If a card payment fails, Stripe retries it according to its settings. MatSync records the failure and keeps the plan status in sync on your dashboard. MatSync does not notify the student automatically; staff send payment reminders manually. Read how to set up automated billing for karate members.
Medical conditions and competitor status are stored on each member’s record for your instructors, and appear in class lists only as a flag. Students and parents accept your club terms and consents on your registration form, and each acceptance is saved with its date.
Add a licence number question to your registration form, and each member’s answer is kept with their registration record for owners and admins to look up.
Send us your spreadsheet or an export from your current software and we import your members, their plans and their grading history, so you start with the dojo you already have.
MatSync is free for up to 30 students, with every feature included, student mobile app access and no credit card required. When the club grows past 30 students, the Grow plan is $39 per month, or $35 per month billed yearly.
The MatSync member app is on the App Store and Google Play. Students and parents book classes, check their belt progress and pay from it.

For karate clubs
A dojo runs differently from a gym. These are the jobs karate club owners ask us about most, and how MatSync handles each one.
Each kyu and dan grade holds its own minimum classes and months. Before a grading, MatSync shows who is ready, who is close and who needs more mat time. Book promotions ahead, then record each one with its date, examiner and note.
Make a belt certificateRun kids, junior and adult classes side by side, each with its own age range and belt track, and stripes between junior belts. One parent login books, pays and follows progress for every child, and family discounts apply to eligible memberships.
New students join through your own registration form and accept your club terms and consents as they sign up, and each acceptance is saved with its date. Medical conditions and competitor status sit on the member record for your instructors, and show in lists only as a flag.
Clubs affiliated to a national federation or an association such as the JKA or KUGB often need each member’s licence number. Ask for it on your registration form and every answer is kept with that member’s registration record.
Shotokan, Goju-ryu, Wado-ryu, Shito-ryu and Kyokushin dojos rarely share one belt chart. Set your own colours, tags, kyu and dan grades and their order, with a separate track for juniors.
