Beginners’ courses, all-levels keiko, weapons, children’s classes and gentle aikido, with kyu gradings, memberships and payments in one place. Members book from their phones, and you see who has practised enough for the next grading.
From 7 am gentle aikido to the Saturday open mat, every booking, grading and payment works from the same member records.
Beginners, keiko and weapons on one timetable
Gentle aikido, Little Aikido, juniors, the beginners’ course, all levels keiko, ukemi and basics, advanced and weapons, the women’s class and Saturday open mat. Each session has its own age range, grade and capacity, so a newcomer never ends up in the jo class on night one.
Set the grades your dojo uses, from ungraded through 5th to 1st kyu and dan, with the sessions and months each one needs. MatSync counts them from real attendance, and members who only come to gentle aikido never need a grade.
Unlimited, two-a-week beginners, three-a-week gentle aikido, advanced and weapons, juniors, Little Aikido, annual memberships and 10-session passes. Card payments through Stripe, cash and transfers recorded by hand, revenue month by month.
Members book in the app or scan their card at the front-desk tablet, and the instructor takes roll on the roster. Every session counts towards the next grading.
Children work through their own mon grades or coloured belts with their own minimums. Every grading is saved with its date, examiner and note, including grades imported from your old grading book.
Adults, gentle aikido regulars, children and juniors, each with their plan and attendance. A neck that cannot take high breakfalls shows as a medical flag on every roster, and parents manage each child from one login.
The best aikido dojo software lets you set up your own kyu and dan grades and counts the practice each member has done towards the next grading. It should run the beginners’ course, keiko for every grade, weapons, children’s classes and gentle aikido on one timetable, put seminars on the calendar, let members book and pay from their phones, and be priced for a 40-member dojo rather than a gym chain.

Before you switch
The answer is yes.
Questions dojo-cho and instructors ask us before they switch. Every answer below is something MatSync does today.
Create the grades your dojo uses, such as 6th to 1st kyu and shodan upwards, mon grades for children or coloured belts, with the minimum sessions and months for each. MatSync does not impose any aikido organisation’s syllabus.
Can MatSync count practice towards the next grading?Yes
Every session a member attends is counted, and the progress list compares it with the minimum for their next grade, together with the time since their last grading.
Can I see who is ready for the next grading?Yes
Put the grading date on a member’s record and the progress list shows who is ready, who is close and who has not practised enough yet.
Can children have their own grades?Yes
Children get their own track with their own minimums. Their history stays on the record when they move up to the adult kyu grades.
Can members train without grading?Yes
Give gentle aikido members their own membership and simply never grade them. They book like anyone else, and their attendance still counts if they decide to grade later.
Can I add a weekend seminar?Yes
Add it to the calendar as a one-off event next to the regular sessions, with its own date, time and instructor.
Can I limit memberships to a number of sessions a week?Yes
A membership can allow a set number of group sessions per Monday-to-Sunday week, from 1 to 14. Once a member reaches the limit, further bookings that week need a session pass.
Can instructors see medical notes on the roster?Yes
Owners and admins record medical notes on a member’s profile, such as a neck injury that rules out high breakfalls. Instructors see a medical flag on the roster and can open the details, while the notes stay out of member lists.
Can members check in at a front-desk tablet?Yes
A tablet at the entrance runs the MatSync check-in kiosk: members scan their code as they arrive and the check-in lands in the session attendance. The instructor can also take roll on the roster.
Can parents manage several children from one login?Yes
With a family account, one parent login covers several children. Parents book sessions, follow each child’s grades and pay, and family discounts apply automatically to eligible memberships.
Can members pay by card and I still record cash?Yes
Members buy their membership in the app. Online payments go through Stripe at Stripe’s standard fees plus a 0.5% MatSync app fee. Cash and bank transfers you record by hand have no transaction fee.
Is there free aikido dojo software?Yes
MatSync is free for up to 30 members, with every feature included, the member app and no credit card required. When the dojo grows past 30 members, the Grow plan is $39 per month, or $35 per month billed yearly.

For aikido dojos
What an aikido dojo needs from its software
An aikido dojo is not a gym with a class timetable, and it has no competition team to manage. These are the jobs dojo-cho ask us about most, and how MatSync handles each one.
Gradings based on real attendance
Minimum sessions and months at each kyu, counted from real attendance. Put the next grading on the calendar and see who is ready, who is close and who needs more time on the mat.
Little Aikido and juniors
Five-to-eight-year-olds learn to roll and fall safely on a two-a-week plan, juniors work through their own grades. One parent login books and pays for every child.
Gentle aikido for members who never grade
Early-morning gentle aikido sits on the same timetable as keiko, on its own three-a-week membership, with soft rolls and seated work. Those members book and pay like everyone else, with no grading in sight.
Weapons, advanced classes and seminars
Bokken and jo classes show their grade on the timetable, with their own membership from 3rd kyu. Weekend seminars and visiting teachers go on the calendar as one-off events.
Medical notes and waivers
A neck that cannot take high breakfalls yet, or an inhaler in the bag, shows as a flag on that session’s roster, so the instructor knows before ukemi starts. Need a waiver for new members? Start from the free template.
Send us a spreadsheet or an export of your grading book and we import members, plans and grades with their dates. Comparing costs first? Use the gym software cost calculator.
MatSync’s 0.5% app fee, plus Stripe’s standard processing fees, only applies to payments that go through Stripe. Manual payments have no transaction fees.
